Refunds & cancellations
Clear rules for deposits, cancellations, and refunds on chart engagements and workshops.
Eligibility
Refunds apply to fees paid to ForestBase Desktop Ltd for chart engagements, workshops, and quarterly refresh cycles, subject to the conditions below.
Timeframe
Written cancellation or refund requests should be sent to hello@desktop-forestbase.click. We confirm receipt within two working days.
Deposits
A deposit (typically 30% of the quoted fee) secures your place in the diary. Deposits become non-refundable once reconciliation of your files has started, because that work cannot be reused for another client.
Full refunds
You receive a full refund of sums paid if we cancel an engagement for reasons within our control and cannot offer a suitable alternative date within 20 working days.
Partial refunds
If you cancel after reconciliation has started but before chart drawing begins, we refund fees paid minus the deposit and any documented third-party room hire already committed. If drawing has started, fees for completed stages are retained; unused later stages (for example, an unused workshop day) may be refunded proportionally.
Non-refundable items
- Completed walkthrough sessions and delivered chart packs
- Custom printed boards ordered for an on-site workshop after you approved the print proof
- Discovery days already delivered when files proved incomplete
Rescheduling
You may reschedule a workshop or walkthrough once without charge if you give at least five working days’ notice. Later changes may incur a reschedule fee of £150 to cover diary disruption.
No-shows
If attendees do not join a booked walkthrough or workshop without prior notice, that session is treated as delivered. A repeat session is quoted separately.
Work already started
When chart drawing is underway, cancellation stops further work. You receive any draft materials already produced; fees for unfinished later stages are discussed in writing before settlement.
Quarterly retainers
Cancel with 30 days’ notice before the next quarter. Fees for a quarter already in progress are not refunded once file collection for that cycle has begun.
Processing
Approved refunds are returned by the original payment method within 14 working days of written agreement.
